Your data: export, delete a user, close the account

Download everything you own, remove a staff member's personal details, and close the pharmacy account with the 90-day window.

The data in PharmaBells is yours. These are the three ways to take it out.

Export everything

Settings → Company profile → Download all my data (owner only). One file with every medicine, batch, invoice, purchase, customer, supplier, expense and employee. Use it for an accountant, a migration, or simply a backup.

Delete a user

A staff member can delete their own login: Settings → Security → Delete my account on the web, or Profile → Delete my account in the app. Password, a reason, type DELETE. Their name, email, phone and login are removed and every device is signed out. The bills they made stay with the pharmacy, as the Drugs & Cosmetics Rules and GST law require, with the identity removed.

An administrator cannot delete their own login while they are the only administrator; make someone else the administrator first, or close the account.

Close the pharmacy account

Settings → Company profile → Close account (owner only): password, a reason, type CLOSE. Also available in the app under Profile → Close pharmacy account.

  • Every user is signed out and the account becomes read-only.
  • For 90 days the owner can still sign in, export, and reopen the account.
  • After 90 days personal data is deleted or irreversibly de-identified. Sales, purchase and tax records are kept de-identified for the statutory period, then deleted.

The public steps are also at pharmabells.com/delete-account.

Common mistakes

  • Closing the account to cancel the subscription. Switch off auto-renewal under Billing instead; the account stays.
  • Deleting a cashier's login the day they leave. Deactivate them under Staff; keep the login until the month's reports are done.
